How do I get started with the Free tier?▼
Simply click "Get Started Now" on the Free tier card. You'll be asked to register your
institution
and create a Super Admin account. No credit card is required for the Free plan.
What do I need to set up my institution?▼
You need three things: (1) Your institution name, (2) a unique 3-character institution code
(e.g., "NVT"),
and (3) an admin email address. The institution code becomes part of your unique login URL
and cannot be
changed after registration.
Do I need to verify my email?▼
Yes. After registration, a verification email is sent to your admin email address. You must
verify within
24 hours to activate your account. If you didn't receive the email, check your spam folder
or request a
new verification link from the pending page.
How do I add my first assets?▼
After setting up your institution, create at least one branch, then define your metadata
(categories,
types, brands, models) in the Metadata section. You can use our bulk CSV import to add
metadata quickly.
Then navigate to Assets → Add New to start registering assets.
💰 Pricing & Billing
Can I upgrade my plan later?▼
Yes, you can upgrade at any time from your dashboard. Upgrades take effect immediately and
tier limits
are adjusted in real-time. Our SaaS admin will seamlessly transition your data to unlock
premium features
like Advanced Reporting for your institution.
What happens if I exceed my tier limits?▼
You won't lose any existing data. However, you won't be able to add new assets, branches, or
users
beyond your plan's limits. You'll see a notification suggesting an upgrade. Existing assets
and data
remain fully accessible.
Is yearly billing cheaper than monthly?▼
Yes! Yearly billing saves you 20% compared to monthly billing. For example, the Professional
plan is
₹999/month when billed yearly versus ₹1,249/month when billed monthly. We recommend yearly
billing for
the best value.
Can I get a refund if I'm not satisfied?▼
We offer a 7-day no-questions-asked refund for any paid plan upgrade. Simply email

Do you offer custom enterprise pricing?▼
Yes. For organizations requiring more than 50 branches, custom integrations, or dedicated
support,

👥 Users & Roles
How are "Branch Users" different from "Super Admins"?▼
Super Admins have full control over the entire institution — settings, users, branches,
metadata, and
global reports. Branch Users are restricted to managing assets only within their assigned
physical branch.
They cannot see other branches' data, manage users, or access institution-wide settings.
Can one person manage multiple branches?▼
Branch Users are assigned to one specific branch. However, Super Admins can view and manage
all branches
from a single dashboard. If you need one person to manage multiple branches, grant them the
Super Admin role.
How do I add more users to my institution?▼
As a Super Admin, navigate to Users → Add New. Enter the user's email, select their role
(Super Admin
or Branch User), and assign a branch if applicable. The new user will receive login
credentials via email.
The number of users you can add depends on your subscription tier.
⚙️ Features
What is the "Audit Trail" feature?▼
The Audit Trail provides a complete chronological history of every action taken on an asset
— who
edited it, what field was changed, the old value, and the new value, with timestamps. This
is essential for
compliance, accountability, and security. Available on Business and Enterprise plans.
Can I import existing asset data?▼
Yes! You can import metadata (categories, types, brands, models) in bulk using CSV format.
Navigate to
Metadata → Bulk Import and paste your CSV data in the format:
Category, Type, Brand, Model (one per line). Individual assets can be added
through
the asset creation form.
Can I export my data?▼
Yes. You can export your asset data in CSV format at any time from the Reports section. This
is available
on all plans. You always retain full ownership of your data.
What types of reports are available?▼
On paid plans, you get Advanced Reporting including: asset distribution by
category/brand/status,
branch-wise comparisons, warranty expiry alerts, depreciation tracking, and custom
date-range filters.
The Free and Starter tiers include basic asset listing and counts.
Can I assign assets to staff members?▼
Yes! The Staff Management module lets you create staff profiles with name, designation, and
employee ID.
You can then assign assets to specific staff members, making it easy to track who is
responsible for each
piece of equipment.
🔒 Security & Data
Is my data secure?▼
We use industry-standard encryption (HTTPS/TLS for transit, bcrypt for passwords), strict
tenant isolation
(each institution's data is completely separated), role-based access control, optimistic
concurrency
control to prevent data loss from simultaneous edits, and regular automated backups.
Can other institutions see my data?▼
Absolutely not. Each institution operates in a completely isolated environment. Your assets,
users,
branches, and reports are invisible to other institutions. This tenant isolation is enforced
at every
level of the application.
What happens to my data if I cancel?▼
Your data is retained for 30 days after cancellation in case you want to reactivate. After
30 days, all
data is permanently deleted. You can request an immediate export or deletion at any time by
contacting
support@assetmatrix.in. If you downgrade (instead of cancel), no data is lost — you simply
lose
access to
premium features.
I forgot my password. What do I do?▼
Click "Forgot Password?" on the login page and enter your registered email. You'll receive a
password
reset link valid for 1 hour. If you don't receive it, check your spam folder or contact your
institution's
Super Admin.
